Terms and Conditions

Booking of Training Rooms and Halls


Interpretation

“CAV” refers to Caritas Agape Village

“CSCC” refers to Caritas Singapore Community Council Limited, the operator of CAV

“Organiser” refers to the person (whether an individual, company, association or organization) making the booking.

“Terms” refer to the Terms and Conditions of Bookings, as listed in this document

Bookings

  • All bookings must be made by duly completing the official online booking form on Skedda platform and are subjected to these Terms.
  • CAV reserves the right to accept, reject or cancel any booking requests, without assigning any reasons.
  • Confirmed bookings are strictly not transferable.
  • Online bookings on Skedda is open for the following rooms:
    • Multi-Purpose Room 1
    • Multi-Purpose Room 2
    • Multi-Purpose Room 1 & 2 Combined
    • Dance Studio
    • TR1, TR3, Cooking & Baking classrooms
  • Online booking request is open for the following rooms, subject to acceptance from Booking Admin.
    • Multi-Purpose Hall 1
    • Multi-Purpose Hall 2
    • Multi-Purpose Halls 1 & 2 Combined
  • Minimum booking duration for each room is 2 hours.
  • Bookings that are 4 hours or less shall not cross over the 1.00pm to 2.00pm time slot, i.e. morning bookings that are 4 hours or less must end by 1.00pm. Afternoon bookings that are 4 hours or less must start at / after 2.00 pm.

Terms of Payment

  • The Organiser shall pay a booking fee (“Booking Fee”) for the booking in accordance with these Terms.
  • The Organiser will be sent an invoice for the Booking Fee, together with any other applicable surcharges or payments specified in these Terms, after the date of the event (usually at the end of the month of completion of the said event).
  • The Organiser shall make full payment of the Booking Fee by cheque or PayNow within 14 working days of receipt of CSCC’s invoice.
  • Cheques are to be made payable to “Caritas Singapore Community Council Limited”. Payments made via PayNow shall be made using CSCC’s Unique Entity Code (UEN) as provided in CSCC’s invoice.

Cancellations

  • All cancellation and amendment requests shall be made in writing by the Organiser and shall be subject to the cancellation fees as provided herein.
  • Multi-Purpose Rooms, Dance Studio, TR1, TR3, Cooking & Baking classrooms:
    • if cancellation is made 21 days or more before the event start date: no Booking Fee shall be payable.
    • if cancellation is made between 15 and 20 days (inclusive) before the event start date: 50% of the Booking Fee shall be payable.
    • if cancellation is made 14 days or less before the event start date: 100% of the Booking Fee shall be payable.
  • Multi-Purpose Halls
    • if cancellation is made 60 days or more before the event start date: no Booking Fee shall be payable.
    • if cancellation is made between 41 and 59 days (inclusive) before the event start date: 50% of the Booking Fee shall be payable.
    • If cancellation is made 40 days or less before the event start date; 100% of the Booking Fee shall be payable.
  • The Organiser will be sent an invoice for any Booking Fee payable in the event of cancellations and shall pay the said Booking Fee within 14 working days of receipt of CSCC’s invoice.
  • Amendments shall be considered cancellations, and rebookings shall be considered new bookings.
  • CSCC reserves the right to close and / or prohibit the use of all or part of its premises at its absolute discretion.
  • CSCC reserves the right to cancel a booking at any time at its absolute discretion if, subsequent to the acceptance of the booking, CSCC is of the view that the cancellation is necessary or advisable owing to any circumstances or matter having arisen or occurred or any matter or information having been brought to its attention. Without affecting the generality of the previous sentence, CSCC may choose to cancel a booking if the relevant part of the CAV premises is required by or in relation to any business of the Archdiocese of Singapore or if the cancellation is requested by the Archdiocese of Singapore.
  • In the event of cancellations made by CSCC, no Booking Fee will be payable (or if any has been paid, will be refunded in full) and CSCC shall not be liable to pay any compensation or payment of any other sort to the Organiser or any other third party for or in relation to the booking or the cancellation.
  • CSCC reserves the right to swap booked rooms to a suitable alternative, should the need arise.

Event Timings

  • All bookings in CAV shall end no later than 10:00pm, unless prior written permission is obtained from CSCC for any extension of time beyond 10:00 pm.
  • The Organiser is required to book the time needed for any setting-up and tearing down for the event (which bookings shall be subject to availability of the relevant rooms).
  • The Organiser shall vacate the booked premises at the agreed finishing time.
  • If the said event goes beyond the agreed finishing time or if the Organiser fails to vacate the booked premises at the agreed finishing time, the Organiser shall be liable to pay CSCC additional charges/rental according to the number of hours, or part thereof, of delay at the hourly rate of the room used.

Food & Beverages

  • Bento sets and Buffet may be served in all the rooms in CAV.
  • The Organiser may engage an external caterer of their choosing, on the condition that the caterer has a valid catering license, which must be produced on request by CSCC.
  • The selected external caterer has to provide all required utensils, bio-degradable cutlery, table dressing etc. CSCC will not provide any tables, cutlery or expendables related to catering.
  • The Organiser is responsible to ensure that all consumed and unconsumed food and beverages are disposed of properly in the green general wastebins outside of the exit gate of CAV.
  • The Organiser is to state the delivery and collection times of the caterer when booking the event; and ensure that the caterer adheres to these timings
  • For events with food catering where food is served or consumed during the event, a cleaning surcharge will be applied (regardless of the day or timing of the event). This surcharge, which varies from $90 to $270 based on the number of guests, covers the cleaning of the booked facilities and common areas. Details of the applicable surcharge may be obtained from CSCC upon request.
  • Cooking and use of open flames in any way by the Organiser in the CAV premises are strictly prohibited.
  • Consumption of alcohol at the CAV premises is prohibited unless prior written permission is obtained from CSCC.

Usage of Premises

  • The Organiser shall be responsible for setting up the booked room in accordance with the nature of its event.
  • Nothing is to be nailed, screwed, stapled or adhered to any wall, door, window or other surfaces in the CAV premises by the Organiser or any of its guests/attendees for the said event.
  • All displays and decorations proposed to be used by the Organiser for the said event, other than normal table arrangements, shall be subject to CSCC’s prior written approval.
  • For bookings of the combined Multi-Purpose Hall, the Organiser may request for the mobile stages to be combined and/or reconfigured. A reconfiguration surcharge of $500.00 is payable to CAV’s stage contractors for such requests.
  • The Organiser shall ensure that all fire exits shall be free from obstruction at all times.
  • The Organiser is prohibited from using CSCC’s or CAV’s title and logo in all advertising and publicity materials, whether explicitly or implicitly, without CSCC’s prior written approval.
  • Any equipment or furniture loaned from CSCC to the Organiser shall be returned to CSCC in its original condition immediately upon conclusion of the said event.
  • The Organiser shall always keep the CAV premises clean and tidy and shall promptly make good at its own cost any damage that is done to the CAV premises and/or property by the Organiser or its guests/attendees, contractors or agents. Such  damage includes, but is not limited to, the staining of any property, the breaking or the damage to any fixtures/fittings/equipment and the need for repair of sanitary facilities.
  • The Organiser shall give immediate notice to CSCC of any damage that has occurred to any fixtures/fittings/equipment of CSCC, any other CSCC property, or to any part of the CAV premises, and/or of any accident to or defects in the water pipes, air-conditioning ducts, telephone conduits, electrical wiring or other fixtures/fittings/equipment whatsoever provided by CSCC for the said event.
  • The Organiser shall be responsible for the removal of all its property, decorations, merchandise and all its other items from the CAV premises after the conclusion of the said event. If the Organiser fails to do so, CSCC reserves the right to dispose, destroy or commission a third party to undertake the removal or disposal of all such items left at the CAV premises and the Organiser shall be liable for and shall indemnify CSCC for all the cost incurred. No claims for damages or loss shall be made against CSCC by the Organiser with regards to any such items.
  • The Organiser shall ensure that the number of the Organiser’s guests/attendees do not exceed the maximum permitted capacity of the venue. CSCC reserves the right to disallow the event from being proceeded with or continuing, should the number of the Organiser’s guests/attendees exceed the maximum permitted capacity of the venue.
  • The Organiser is responsible for restoring all furniture and fixtures in the venue to their original position and condition after the event. Failure to do so may result in a surcharge of up to S$200.00, payable to CSCC.
  • Pets and other animals are not allowed into the CAV premises with the exception of guide dogs for the visually impaired (for which prior written approval has already been obtained from CSCC).
  • The Organiser must inform CSCC in advance should it have any Minister, Member of Parliament, Non-Constituency Member of Parliament and/or any guest with political affiliation for the said event.
  • The Organiser must inform CSCC in advance should it have any media coverage, whether local or foreign media, filming and/or taking photographs meant for publication, at the said event.
  • The Organiser is prohibited from screening videos, film or movies without prior written approval from CSCC. Only films which have a Singapore Board of Censors Classification Certificate may be shown to an appropriate audience and the screening must not infringe the intellectual property rights of any third party.

Technical Support

  • Only individuals authorized by CSCC are permitted to operate the audio-visual system during all events held at the facility.
  • A surcharge of S$50 per 3-hour block, or any part thereof, will apply if CAV technical staff are required to operate the audio-visual system in the Multi-Purpose Halls (MPH).
  • The Event Organiser is prohibited from using their own electrical appliances, instruments, and/or equipment without prior written consent from CSCC.
  • Any malfunctions in the technical, audio-visual, or electrical facilities provided by CSCC will be addressed as soon as practicable. However, CSCC shall not be held liable, and the Organiser will not be entitled to claim damages, compensation, or withhold payment of any sums under these Terms, for or in relation to any such malfunctions or similar issues.

Summary of Surcharges

  • The Organiser is responsible for restoring all furniture and fixtures in the venue to their original position and condition after the event. Failure to do so may result in a surcharge of up to S$200.00, payable to CSCC.
  • If the event exceeds the agreed finishing time or if the Organiser fails to vacate the premises on time, they will be liable for additional rental charges based on the hourly rate of the room used, calculated according to the duration of the delay (including any part thereof).
  • A surcharge of S$50 per 3-hour block, or any part thereof, will apply if CAV technical staff are required to operate the audio-visual system in the Multi-Purpose Halls (MPH).
  • For events with food catering where food is served or consumed during the event, a cleaning surcharge will be applied (regardless of the day or timing of the event). This surcharge, which varies from $90 to $270 based on the number of guests, covers the cleaning of the booked facilities and common areas. Details of the applicable surcharge may be obtained from CSCC upon request.

Conduct

  • The Organiser is responsible for conducting the said event in an orderly manner and in full compliance with CSCC’s rules and regulations governing the use of the CAV premises and with all applicable laws.
  • The Organiser is to ensure that the volume of noise and music generated or played at the said event is regulated, so as to not cause any disturbance or annoyance to tenants, other patrons and neighbouring establishments at the CAV premises.
  • Smoking is only permitted at the designated smoking area at the CAV premises.
  • All the Organiser’s guests/attendees are to remain within the designated event venue booked during the said event and should depart the said venue promptly in an orderly manner upon the conclusion of the event.
  • Minors are to be under the supervision of a responsible adult, parent or guardian for the duration of the event.
  • All the Organiser’s guests/attendees at the said event are to be properly and decently attired while at the CAV premises.
  • All the Organiser’s guests/attendees at the said event shall be responsible for their own safety and well-being, as well as the safety and/or security or all property brought by them into the CAV premises. CSCC shall not be responsible for any safekeeping or custody of any property of the Organiser or its guests/attendees at the said event.
  • CSCC reserves the right, without liability to the Organiser, to intervene (including to stop the event) if the said event or its activities may, in CSCC’s view be illegal, noisy and/or offensive.
  • CSCC reserves the right, through its authorised security officers, to refuse admission to or remove from the CAV premises any person it considers in its sole discretion to be behaving, or is likely to behave, in a manner prejudicial to the reputation and/or interests of CSCC.
  • Usage of the CAV premises for political meetings or by a political party or an affiliated group is strictly prohibited. CSCC reserves the right to request for and be provided with copies of promotional literature, including invitations/flyers of or relating to the event.

Mass

  • The Organiser is welcome to celebrate Mass, as approved by the Roman Catholic Church, in CAV.
  • CSCC shall provide an Altar Table, Credence Table and a Rostrum to use during Mass.
  • CSCC will not provide the Mass Kit or Vestments for use during Mass.
  • The Organiser is responsible for having the relevant documented clearance from the Chancery Office and MOM, should it wish to invite a foreign clergy or speaker to concelebrate and/or preach in Mass held in CAV.
  • CSCC reserves the right to reject any foreign clergy or preachers from celebrating the Mass if they are unable to produce relevant documents of clearance from the Chancery Office.

Parking

  • Please note that parking within CAV is limited and available on a first-come, first-served basis. All bookings for parking must be made by duly completing the official online booking form on the Skedda platform.
  • Alternative parking is available at the following nearby public carparks, all within walking distance:
    • Multi-storey Carpark behind Block 226, Lorong 8 Toa Payoh
    • Open Carpark at Block 224, Lorong 8 Toa Payoh
    • Open Carpark at Braddell Tech Park
  • The Organiser shall ensure that its guests and attendees comply with traffic rules and regulations at all times.

Liability

  • CSCC shall not be liable to the Organiser or any other person for any loss, damage, injury or loss of life to or of any person or property howsoever caused in the CAV premises, unless any of the abovementioned is caused by the wilful misconduct or default of CSCC or its employees/contractors/agents. Under no circumstances will CSCC be liable for any indirect or consequential loss suffered by the Organiser or any other person arising from any breach or default by CSCC or its employees/contractors/agents.
  • CAV shall not be liable for any delay in performing, or failure to perform its obligations, as a result of any act of God, any force majeure event or any other event or occurrence which is beyond CSCC’s reasonable control.
  • The Organiser shall indemnify and keep indemnified CSCC in full from and against all claims, demands, proceedings, liability, damages, costs, losses and expenses of any nature – including legal costs on a solicitor and client basis – incurred by or made against CSCC as a result of any breach of the Terms by the Organiser or its employees/contractors/agents or arising from the activities conducted at the event.

General

  • CSCC reserves the right to modify, amend and/or supplement these Terms from time to time, with or without prior notice.
  • The Organiser warrants that all information provided to CSCC in its booking process are true and accurate. In the event that the Organiser is found to have misled CSCC and/or made any false statements in the booking or at any other relevant time, CSCC reserves the right, in its sole discretion, to cancel the booking, bar future bookings made by the Organiser and to claim the Booking Fee or compensation from the Organiser for any losses suffered as a result of the misleading or false information or statements.
  • CSCC may grant, refuse or withdraw its approval for the usage of its rooms at its sole discretion, without assigning any reason.
  • None of the provisions herein shall be deemed to constitute a partnership between CSCC and the Organiser, and neither party shall have authority to bind the other in any way, or to make a commitment, representation and/or warranty on behalf of the other party.
  • These Terms are subject to CSCC’s Privacy and Data Protection Notice found at [https://www.caritas-singapore.org/pdpa/].
  • These Terms shall be governed by the laws of Singapore and the parties hereby submit to the jurisdiction of the Courts of Singapore.
