Administrative Assistant

We are looking for a passionate, highly organised and motivated Administrative Assistant to join us at Caritas Agape Village in Toa Payoh.  

You will play a vital role in ensuring the smooth administrative operation of our organisation. 

Roles and Responsibilities:

  • Meeting Support: 
    • Taking accurate minutes during board and committee meetings. 
    • Managing RSVPs for meetings and events. 
  • Facilities Booking Management 
    • Handling facilities booking and responding to inquiries. 
    • Coordinating with internal and external stakeholders to ensure seamless use of our facilities. 
  • Event Management 
    • Plan, coordinate, and execute events from concept to completion, ensuring seamless delivery including   logistics, budgets, timelines, and vendor negotiations, ensuring all details are meticulously handled. 
    • Oversee event communication, promotion, and staff management, ensuring successful execution and post-event evaluation. 
  • Administrative Support 
    • Providing overall administrative support including attending to walk-in inquiries  
    • Assisting with various administrative tasks as needed to support the organization initiatives, projects and events.  
    • Compile and consolidate monthly data for management reporting.
       

Requirements:

  • Diploma or Degree in Social Work, Social Sciences, or a related field.
  • GCE A level or its equivalent 
  • Minimum of 5 years of experience in an administrative role 
  • Strong organisational and time management skills. 
  • Excellent written and verbal communication skills. 
  • Ability to interact effectively with stakeholders at all levels, whether senior executives or working-level staff 
  • Ability to take detailed and accurate minutes of meetings. 
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint). 
  • Prior experience in an administrative role is preferred.

Membership Senior Executive

Reporting to the Head, Partnerships, your main role and responsibilities are:

Roles and Responsibilities:

  • Manage, develop, and establish stronger relationships with member organisations in the Caritas Singapore Family through various means, including but not limited to meetings and field visits.
  • Plan and implement programmes and events that foster greater collaboration and networking across various stakeholders (with emphasis on member organisations in the Caritas Singapore Family).
  • Work with potential and existing member organizations in the Caritas Singapore Family on all matters relating to Membership in Caritas, including, but not limited to processing and evaluating membership application and status for affiliations and associates.
  • Provide secretariat support to the Caritas Singapore Membership Committee.
  • Provide support on other projects/tasks as assigned by the Executive Director, Caritas Singapore.

Requirements:

  • Diploma or Degree in Social Work, Social Sciences, or a related field.
  • At least a Bachelor’s Degree (preferably in Social Work, Business or Communication Studies) with these qualities :
    - Strategic thinking with hands-on experience planning and executing programmes and event.
    - Have strong writing skills and an eye for attention to detail.
  • 2-3 years of experience in the social sector as an employee would be beneficial.
  • Experience in community development and community building would be advantageous.

Grants & Impact Executive

Support the organisation's grant-making, impact measurement, and stakeholder engagement efforts to ensure funding is effectively deployed and delivers meaningful community outcomes.

Roles and Responsibilities:

  • Manage the grant lifecycle, including application review, due diligence, approvals, disbursements, and reporting.
  • Prepare grant evaluation reports for management, committees, and the Board.
  • Track, analyse, and report programme outcomes through impact reports, dashboards, and beneficiary stories.
  • Lead and support impact measurement processes, including data collection, analysis, and reporting.
  • Provide guidance to grantees and member organisations on grant management, reporting, and impact measurement.
  • Knowledge of philanthropy and grant making, with the ability to enhance and strengthen grant making practices across the ecosystem.
  • Coordinate stakeholder engagement activities, workshops, outreach, and capacity-building initiatives.
  • Support policy development, governance reporting, audits, and process improvements.

Requirements:

  • Diploma or Degree in Social Work, Social Sciences, or a related field.
  • Experience in the nonprofit, social service, philanthropy, or community development sector is advantageous.
  • Strong analytical, organisational, communication, and report-writing skills.
  • Detail-oriented, able to manage multiple priorities, and committed to community impact.

IT Manager

Roles and Responsibilities:

  • Develop and implement IT strategies, policies, and governance frameworks in partnership with leadership and stakeholders
  • Oversee delivery of IT systems and projects, ensuring alignment with organisational and regulatory requirements
  • Lead IT policy, SOP development, and audit-ready documentation
  • Manage vendors, contracts, and service providers across the full system lifecycle
  • Ensure data security, privacy, access controls, and compliance (e.g., PDPA)
  • Monitor and support audit processes, risk management, and remediation efforts
  • Drive system adoption, user training, and change management initiatives
  • Manage IT budget, procurement, and cost control
  • Optimise enterprise platforms such as Microsoft 365, Salesforce, and/or AWS

Requirements:

  • Degree in IT, Computer Science, or related field
  • 5+ years of experience in IT management, governance, or enterprise systems
  • Experience with at least one of: Microsoft 365, Salesforce, AWS
  • Strong background in IT governance, security, compliance, and vendor management
  • Experience in nonprofit or regulated environments is an advantage

Preferred Certifications:

Finance Executive

Roles and Responsibilities:

  • Review vendors & staff purchase requisition for compliance to Procurement Policy
  • Manage creation & approval of purchase orders
  • Review invoices & staff claims for compliance to Procurement Policy
  • Support Accounts Receivables, Accounts Payable and Fixed Assets activities
  • Support financial month end closing activities

Requirements:
